2. What data we process

  • The data you give us in the quote or contact form: name, email address, phone number, preferred office, your message and the documents you attach for translation.
  • The data you give us when you contact us by email, phone or WhatsApp.
  • If you become a client, the data needed to provide and invoice the service (name or company name, tax ID and address).

The documents you send us for translation may contain personal data of third parties. We only use them to carry out the translation you have ordered.

3. Why we use it and on what legal basis

  • To answer your request and prepare a quote. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR).
  • To provide the translation or interpreting service you have ordered, including sending sworn translations by courier. Legal basis: performance of the contract (Art. 6(1)(b) GDPR).
  • Invoicing and accounting and tax obligations. Legal basis: compliance with legal obligations (Art. 6(1)(c) GDPR).

We do not use your data to send you advertising or to build profiles, and we do not make automated decisions.

4. How long we keep it

  • Quote requests that do not become an order: one year at most.
  • Client data and order documents: for as long as the relationship lasts and, afterwards, for the periods required by law (for example, six years for accounting records and four years for tax records).

5. Who we share it with

We do not disclose your data to third parties unless required by law. The following work with us to provide the service, with the safeguards and contracts required by law:

  • IONOS, our website and email hosting provider, with servers in the European Union.
  • Freelance translators and interpreters who work on your order.
  • Courier companies, to deliver sworn translations on paper.
  • Our accountants, for accounting and tax purposes.

If you write to us on WhatsApp, that service is provided by WhatsApp Ireland Limited under its own privacy terms.

6. Your rights

You can exercise your rights of access, rectification, erasure, objection, restriction of processing and data portability by writing to info@bidewbi.com or to the postal address above, stating which right you wish to exercise.

If you believe we have not processed your data correctly, you can file a complaint with the Spanish Data Protection Agency (www.aepd.es).

7. Security and confidentiality

We apply technical and organisational measures to protect your data, and we treat all the documents you send us with the confidentiality expected of professional and sworn translation.
